FRONT OFFICE RECEPTIONIST

Berkshire Housing Development Corporation is seeking a full time Front Office Receptionist to join our team in working with and supporting our clients.  This team member is the first contact with existing and potential new customers arriving in the main office and must create a positive first impression by providing key support for both the internal and external customers of the organization. S/he must be pleasant, courteous, helpful, knowledgeable, professional, caring, and understand privacy and confidentiality relating to information due all customers, and be accurate in providing information requested. Candidates must have a high school diploma, have excellent customer service skills, 1-2 years of successful, prior experience working in a multi-tasked, detail oriented and fast paced office environment, have strong verbal and written communication skills, and be proficient with Microsoft Office software. Bi-lingual (English and Spanish speaking) is preferred.

CASE MANAGER

Berkshire Housing Development Corporation is seeking a full time Case Manager to join our team in working with and supporting our clients.  Responsibilities include meeting with and interviewing applicants, developing self-sufficiency & action plans, case management, motivating and guiding clients, coordination of services, strong knowledge of local services & collecting data for reporting purposes for multiple financial assistance & case management programs we operate.  Candidates must have the ability to follow state regulations, work with a diverse population, be self-motivated, have excellent organizational skills, ability to work in a fast paced office environment, be a team player, have excellent written and verbal communication skills, knowledge of Microsoft Office, have valid transportation and driver’s license, minimum of 2 years’ experience in the Human Services field or a bachelor’s degree in a related area.  Experience in housing, mental health and substance abuse a plus, and bi-lingual preferred.  Competitive salary and benefits package. OCCUPANCY SPECIALIST

Berkshire Housing Services, Inc. is seeking a full time Occupancy Specialist to join our Leasing Department for properties under BHSI management.  This position is ideally suited for someone who wants to be part of a skilled, fast paced team, enjoys working with diverse clientele, is detail oriented and self-motivated.

Responsibilities

The Occupancy Specialist will process applications, perform recertification’s for current residents; voucher for funds; submit reports to funders such as MHFA, HUD, DHCD, MHIC; answer daily phone & email inquiries, complete daily filing, conduct peer to peer review of files to ensure compliance and proper reporting, and, coordinate new apartment move-ins/move outs  as necessary.

Some traveling required for meetings and trainings. Successful candidate must have excellent working knowledge of Microsoft Office, Word, and Excel; excellent organization & communication skills,. PROPERTY MANAGER

This team member is responsible to oversee and be directly responsible for the physical and financial viability or all real estate properties under their control. These properties shall be managed in accordance with the owner’s objectives, BHSI management systems and conform to federal, state, city, and funding agency guidelines and regulations. Emphasis is placed on providing a safe and decent living environment for tenants and owners while focusing on protecting an owner’s investment.

The following is meant to be a fair representation of tasks required for this position but is not meant to be all inclusive. Any other tasks normally associated with this position in the real estate industry may be delegated and should be inherent in this outline of job responsibilities.

Specific Tasks & Duties include and are not limited to the following:

Financial Management

  • Prepare annual operating and capital budgets for each managed property and receive approval from the owner, association, trust, finance agency etc.
  • Recommend, prepare and submit for approval annual rent or maintenance fee increases as deemed necessary
  • Assist in other budget preparation as requested
  • Fiscally operate managed properties within the approved budget
  • Develop a financially viable long term physical replacement and/or capital needs program for each managed property
  • Review and analyze monthly financial statements for each managed property ~ Determine appropriate CAM charges for commercial/retail space
  • Directly responsible for collecting unpaid rents and maintenance fees

General Administrative Management

  • Attend Berkshire Housing Services, Inc. general staff meetings and all other meetings as may be required
  • Review daily, weekly, monthly, and annual reports of managed properties
  • Responsible for site staffing, ensuring that the proper staffing levels are maintained, that employees are properly trained, and supervised to ensure that they are productive and efficient. Also required to complete performance evaluations in a timely manner.
  • Meet with Site Staff, Trustees, Directors, Owners, HUD, MHFA, DHCD or their representatives during site visits
  • Monitor and file all property reports
  • Prepare required reports for Trustees, Directors, Owners, HUD, MHFA, DHCD or their representatives as needed.
  • Review all completed work order request forms
  • Represent Berkshire Housing Services, Inc. at Board and Association meetings, rent increase meetings, public meetings, owner and finance agency meetings, etc.
  • Be familiar with and perform both property and asset management functions when appropriate as detailed by the Institute of Real Estate Management
  • Perform annual apartment inspections
  • Perform a site visit of each property at least weekly
  • Responsible for following and implementing the rules and regulations of Berkshire Housing Services, Inc. as outlined in the Policy and Procedures Manual
  • Must be available to address managed properties emergency calls in the evenings and on weekends
  • Ensure compliance with federal, state and local agency regulations, management contracts, property documents, office procedures, etc.
  • Must be available to attend scheduled evening and weekend Board or Trustee Meetings
  • Must be aware and keep current with industry trends and at all times be aware of and try to produce referrals for new business opportunities

Physical Management

  • Evaluate physical condition of managed property upon each site visit
  • Develop and implement energy conservation programs
  • Bid major projects in accordance with federal, state, or funding agency guidelines
  • Coordinate and supervise major repair and capital improvement projects
  • Coordinate and supervise work performed by outside contractors
  • Coordinate and schedule apartment preparation with Site Staff and Leasing Department for tenants moving in/moving out
  • Ensure compliance with managed property preventative maintenance program

Position Requirements

Must have a valid drivers license as issued by state licensing authority

Must be available for property emergency calls in evenings and weekends

Must be available to attend scheduled evening and weekend Board Meetings Must be proficient in Microsoft Word and Excel
